Approval of Minutes of 6-7-16 meeting. Marilyn moves, Jana seconds, all approve.
Financial report. Greg, board treasurer, hands out and explains (1) Balance Sheet as of 6-30-16; (2) Profit & Loss Budget vs. Actual Oct 3015 thru June 2016, general; and (3) Profit & Loss Budget vs. Actual Oct 2015 thru June 2016 for Harvest Fest, Winter Bluegrass Weekend, Cabin Fever Festival, Kickoff Festival and August Festival to date. Jana, Finance Committee Chair, discusses details to date. Much discussion. Mary moves, Jana seconds, all approve receipt and acceptance of these financial reports.
Give MN fund raising campaign. Jana moves, Ann seconds, all approve we get moving now via articles in the Sept and Oct magazines, on the Give MN campaign, targeted for November 17. Jana will check on last year’s copy for notices and articles.
990 tax form and AG report. Jana reports extensions have been filed by our accountant to give us until until August to file these reports.
State Fair Contests. Ann reports that the contest committee is active and up to date with plans. 8 bands and 10 duos are scheduled, and all is looking good.
Laughing Waters Festival Advertising. Alan requests that we buy advertising in the brochure for his Labor Day bluegrass festival in Minneapolis which attracts thousands of people. We recommend, for review by the financial committee, buying a $1000 full page ad plus a $200 booth, under our general advertising budget, and also giving Alan a free ad in the August and Sept issues of our magazine.
Letter from the President in the July magazine, asking if we should expand the organization to include more kinds of roots music. Discussion. Phil quotes Norm Pikelny, “Bluegrass is music that is in touch with its roots.” We agree that our stated mission “to preserve and promote bluegrass and old time string band music” includes adding more roots music genres.
Report of June 30 meeting with various board members and festival staff members, to discuss problems with facilitating aspects of the upcoming August festival plus peoples’ understanding of the scope of work for our executive director and administrative assistant. Arne reports that he has agreed to pay Matt Johnson (who ably chaired the Kickoff festival in June) out of his contract amount, to assist in managing details of the festival. Jana reports that Dick Hopperstad, longtime MBOTMA volunteer, is working on an agenda for the 3rd Tuesday festival staff meeting. Today Peter and Jana plus Dale Gruber of the festival staff went up to El Rancho Manana to talk with rancho owner Kevin Ward about details for the festival and will continue to handle communication of details with Kevin as we approach festival time.
CM Management Contract followup. Peter sent a letter to Jed after our last board meeting saying we would accept CM’s conditions 1 and 2 to pay Jed for consulting and database help but not condition 3, that the payment must come from Arne’s contract amount. Jed rejected this offer unless condition 3 is met. We again table final decision on this matter until the next board meeting.
Next board meeting: No meeting in August, because of festival planning. Next board meeting will be the first Tuesday in September,
