Minutes – MBOTMA Board Meeting – November, 2015 Meeting held 11-3-15 at Davanni’s Restaurant, Edina
Present: President Peter Albrecht, Vice President Jana Metge, Treasurer Sandi Pidel, Alan Jesperson, Quillan Roe, Phil Nusbaum, Greg Landkammer, Sarah Cagley, Ken Bloch, Marilyn Bergum.
Guest MBOTMA members: Tony Anthonisen, Matt Johnson, Doug Lohman, Brett Day
Board meeting called to order by President Albrecht.
Minutes for October, 2015, meeting – Correction: delete Sarah from the Finance Committee report as having attended the meeting with Barry Rogers and Floyd. Motion made by Greg, seconded by Jana, to approve minutes with the above correction. Motion passed.
Audit committee – Mary, Peter, Greg, Ken. Motion made by Jana, seconded by Sandi, to accept these names for the audit committee. Approved. This group is heading up the search committee for new executive director.
Kickoff 2016 budget – Tony Anthonisen reported that 50-75 people, new to MBOTMA events, attended the 2015 August festival ukulele event. Tony suggests bringing in a ukulele performer for the Kickoff festival. A well know ukulele performer charged $1,350 for two workshops, one jam and one main stage performance for a Milwaukee event.
After much discussion on cost versus negative budget, advertising to broader ukulele audience, and expected attendance, motion made by Jana, seconded by Ken, to increase the Kickoff Festival budget revenue by $2,000 and expenses by $2,000, with extra $2,000 expected from ukulele attendees at the January fundraiser.
Sarah and Sandi abstain, motion passes.
Kickoff band selection process – Matt Johnson spoke to concern that band selection, as mandated by the board, limits the availability of the best bands. The August festival books first in December so those bands are then eliminated from prospect list for the Kickoff.
Discussion included suggestion to bring the topic to the March member meeting. Point made that meeting is poorly attended so it would be hard to have a valid discussion.
Motion made by Sandi, seconded by Alan, to keep the policy in place that bands playing at the August festival can’t play in successive years on the main stage.
Jana made friendly amendment, seconded by Ken, first choice in calendar year. Amendment withdrawn.
Further discussion – Rescind provision stating “Bands that have been booked to perform on the main stage for the MBOTMA Festival in the same year will be excluded from consideration.”
Finance Committee report – Sarah
Discussion included: Floyd of BK Rogers and Jed will meet to compare how new and old accounting systems mesh. An upgraded version of Quickbooks has higher cost per month, $39.95 vs $26.00, but is worth the increase. Discussion that accountant should meet with board at least three times a year.
Fundraising Event Committee report – JanaGiveMN is on 11-12-15. See magazine or event calendar for details. Handout passed out for the 1-23-16 fundraiser, dubbed Jedfest.
Executive Director search committee – KenApplication deadline is 12-7-14. Resumes submitted to date were distributed. Jed states that mandatory equipment is Windows 7Pro. Quillan added to the committee.
Magazine editor search committee – BrettApplication deadline is 2-1-16. Jed and Doug will discuss documentation to appoint Doug as interim editor. Point made that the new Executive Director should be involved in the magazine editor hiring.
Other – Doug
Doug has 100 cassette tapes of festival performances from 1987-1997. The tapes are deteriorating but can be salvaged. Suggestion was made that Doug apply for a Fiscal Agency grant through the MN Historical Society. Estimated cost of restoration - $4,000- 5,000.
Brett stated that he has 30 hours of video.
Jed sent free festival passes for the “Inside Bluegrass” radio show announcers, as requested, as well as for give-away promotion through the two radio stations that carry the show.
