Approval of Minutes from our last board meeting: Ken moves, Ann seconds, all approve the minutes from our 9-6-16 board meeting.
Katryn on new website: Katryn has volunteered to update the MBOTMA website (minnesotabluegrass.org) to a new platform. She reports that she would have charged a regular client between $2K and $5K to do this work, but she is donating her work, as is Jasper McCroskey, a young MBOTMA member who is a professional web designer. Thank you, Katryn and Jasper! We are ready to move over to the new site, except for the band directory, which needs more work. Katryn wants to keep the old site up for a few months during transition. She asks for high resolution photos from festivals – at least 1500 or, better, 2000 pixels wide. Doug will put a note in the magazine that members who have good photos can send them to him or to Katryn. Ann moves, Greg seconds, all approve that we move to the new website.
St.Thomas University Marketing Students, having met earlier in the year with our former Exec Director Arne Brogger, have volunteered to analyze our branding and marketing plan, pro bono, as part of their curriculum. Doug and Brett have now met with two students and described our organization. The students will have a presentation later in the season; Doug will let us know when.
Bylaw Amendments. Board members have suggested some changes to our bylaws, notably (1) reducing the necessary number of board members present at a meeting to constitute a quorum from seven to a simple majority; and (2) that the board members shall choose their own officers from among their number, rather than having the membership specifically elect officers. Discussion. Ann and Mary will work on the wording of these suggestions and present to the board at the next meeting.
Board vacancies, following the resignations of Jana Metge, Sarah Cagley, Marilyn Bergum and Quillan Roe. We will discuss suggested names in a brief closed session at the end of this meeting and present candidates for approval at the November meeting.
2017 Budget: Greg, our treasurer, has prepared a slide show depicting each 2016 event’s Income, Expenses, and Net according to the 2016 budget and as compared to the Actual figures, and then projected in a 2017 budget format. He and the finance committee, including our accountant, Floyd Wellons, have spent many hours working on this, with Greg spending many additional hours to refine his presentation. Thank you, Greg! Mary moves, Ann seconds, all approve the 2017 budget.
Elections Ballot. Doug, as magazine editor, will confirm with Martha Galep, our nominations chair, the list of people running for the open positions this fall and will then prepare the ballot for the November magazine. Ken, as election judge, asks for an extra day to collect ballots before the Harvest Jam, hence mailed ballots will be due by November 15. Members can also bring their ballots to the Harvest Jam by Saturday afternoon Nov. 19. Ken and helpers will count all votes that day with the results to be announced at the evening banquet.
Resignations. Marilyn Bergum wishes to resign her board position because of upcoming bilateral knee replacements and her long drive in from Milaca. Quillan Roe wishes to resign because his band is coming up on their busiest season plus his active family needs his attention. Ann moves, Mary seconds, all approve that we accept the resignations of Marilyn and Quillan from their positions as directors-at-large.
